Hotel Equipment Suppliers recognises that reliable scholar transport affects families, schools and communities every day. We are contributing by developing SchoolRide-RSA, a platform intended to improve access to provider information, document-status visibility and authorised journey updates.

Our purpose

Every school journey matters.

Our aim is to support better-informed decisions. SchoolRide-RSA is being designed to help parents and guardians identify transport providers who have submitted relevant information for platform review, while giving operators a structured way to maintain their records. The platform does not replace the role of transport authorities, law-enforcement agencies, schools, insurers or a parent’s own checks.

Trusted journeys. Peace of mind.

A proposed scholar-transport information, compliance-status and journey-visibility platform for South Africa. Operators and drivers will be required to submit the records applicable to the area in which they operate. SchoolRide-RSA will review submitted records, record expiry dates and display a controlled platform status. It will not issue statutory operating licences or represent a provider as government-accredited.

Provider information

Records kept current.

The final document checklist will be set by operating jurisdiction and legal review. It is expected to include the following categories, where applicable under national, provincial or municipal requirements.

Operator authorityIdentity and business details, applicable operating licence or permit, and any required provincial or municipal authority records.
Driver statusValid driving licence, professional driving permit (PrDP) for the relevant vehicle and service, and any additional checks lawfully required.
Vehicle recordsVehicle registration, roadworthiness or certificate of fitness where applicable, authorised capacity and vehicle assignment.
Insurance evidenceCurrent insurance information, including passenger-liability cover where required or declared by the operator.

Submit

The provider uploads required information through a controlled account. Private documents are not made public.

Review

SchoolRide-RSA checks the submitted record against the platform checklist. This is a platform review, not government certification.

Monitor

Expiry dates are monitored and advance reminders can be sent to the provider before time-sensitive records lapse.

Restrict

Expired or unresolved critical records can change the visible status and prevent new SchoolRide-RSA journeys until reviewed.

Security and journey assurance

Authorised access. Minimum exposure.

The intended controls are designed around privacy, traceability and the principle that only authorised people should see a child’s journey information.

Privacy-safe QR credentials

A scholar’s QR credential will use an opaque, revocable token. It must not display or encode the child’s name, home address, school, guardian contact details, payment information or live location.

Authenticated collection

A scan will only be accepted through an authenticated driver or authorised device linked to an eligible vehicle, route and active journey.

Journey-bound geolocation

Location tracking is intended to operate only during an authorised journey. SchoolRide-RSA is not designed for continuous or public tracking of a child.

Guardian notifications

Authorised guardians may receive controlled updates for collection, journey start, material exceptions and arrival at the agreed destination.

Geofences and route alerts

Server-defined geofences and route corridors may support arrival and route-deviation alerts. These alerts are advisory and can be affected by traffic, road closures, device signal or GPS accuracy.

Access and audit controls

Role-based access, private document storage, credential revocation, access logs and review histories are planned as mandatory production safeguards.
