SchoolRide-RSA is a distinct community-focused platform within Hotel Equipment Suppliers, designed to make compliant scholar transport providers more visible and to give parents and guardians stronger verification, journey-status and compliance information.
Registered drivers and transport suppliers submit required operating, vehicle, insurance, licence and PrDP documentation for controlled review. Verification status is only displayed when supported by the live platform record.
Time-sensitive documents are monitored for expiry. Providers receive advance reminders approximately one month before expiry. Unresolved expiry changes the live compliance status and alerts affected parents or guardians.
Verified vehicles use a serialised SchoolRide-RSA decal with a platform-generated vehicle reference and privacy-safe dynamic QR code. The decal price remains subject to final confirmation.
Privacy by design: QR codes and public-facing identifiers must not expose a scholar's home address, parent details, payment data, national ID or private compliance documents. Live verification returns only the minimum information required for the authorised purpose.
SchoolRide-RSA provides platform, verification, compliance-status and journey-information services. Transport remains provided by the independent transport provider. Provider visibility is subject to active membership, monthly subscription and current approved compliance documentation. Final operating terms, safeguarding controls, insurance allocation, POPIA/privacy controls, payment configuration and production geolocation rules remain launch-gated.

The objective is straightforward: improve the visibility of legal, compliant scholar transport providers and provide families with better information around provider status and the scholar journey.
Independent providers remain responsible for their services, drivers, vehicles, permits, insurance, conduct and legal compliance. Platform review, status information, QR credentials, geolocation and notifications do not constitute government accreditation or a guarantee of safety, future conduct, uninterrupted service or regulatory compliance. Technology may be delayed, inaccurate or unavailable because of device, GPS, signal, network or third-party conditions. Parents and guardians must complete their own checks, maintain direct provider contact and keep an appropriate emergency plan.
To the fullest extent permitted by South African law, HES is not responsible for an independent provider’s acts or omissions, reliance without appropriate independent verification, or indirect and consequential loss arising from the platform.
